Privacy Policy
Effective Date: October 2026
The New South Wales Handball Association (NSWHA, "we", "us", or "our") is committed to protecting the privacy and security of the personal information of our members, players, volunteers, and website visitors. We are the grassroots engine room for the sport in NSW, and we respect your right to privacy.
This Privacy Policy explains how we collect, use, disclose, and store your personal information in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).
1. The Information We Collect
We only collect personal information that is reasonably necessary for us to run the sport, organise competitions, and manage our association. This may include:
Contact & Identity Information: Your name, address, email, phone number, date of birth, and gender.
Sporting Information: Club affiliation, membership status, competition history, qualifications (e.g., coaching or referee accreditations).
Financial Information: Payment details when you register or purchase items (processed securely via our third-party provider, Assemble Sports).
Health & Emergency Information: Emergency contact details and relevant medical information (such as injuries or allergies) to ensure player safety during events.
Media: Photos or video footage taken at our matches, training sessions, or events.
Health information is "sensitive information" under the Privacy Act. We collect it only with your consent, only where it is needed for your safety at our events, and we use it only for that purpose.
2. How We Collect It
We usually collect this information directly from you when you:
Register to play, coach, or referee.
Sign up for a NSWHA event or school program.
Contact us via email, phone, or social media.
Interact with our website.
Third-Party Collection (Assemble Sports):
We use Assemble Sports as our primary registration and competition management platform. When you register for a NSWHA club or competition, you will enter your data directly into the Assemble Sports software. Assemble Sports collects and processes this data on our behalf. You can view the Assemble Sports Privacy Policy at: www.assemblesports.com/privacy-policy.
3. Cookies, Analytics and Advertising
When you visit nswhandball.com.au we collect some information automatically. We use cookies, which are small text files stored on your device, to make the site work and to understand how it is being used.
Analytics. We use Google Analytics 4 to see how many people visit the site, which pages are popular, and roughly where visitors come from. This helps us decide what to put on the site. Google Analytics does not tell us who you are, and we do not use it to build profiles of individual visitors.
Hosting. Our website is built and hosted on Squarespace, which sets its own cookies needed for the site to function and records basic traffic data.
Embedded content. Our site displays our Instagram feed. Instagram may set cookies and collect information about your visit under its own privacy policy, whether or not you have an Instagram account.
Advertising. We may run online advertising to promote handball, recruit players and publicise our events, including through Google Ads and social media platforms such as Facebook and Instagram. Where we do, these platforms may use cookies or similar technology to measure whether an ad led someone to our site, and to show our ads to people who have visited our site before. We do not provide these platforms with your name, contact details or membership information for advertising purposes.
Your choices. You can block or delete cookies through your browser settings at any time. The site will still work, though some features may not behave as expected. You can opt out of Google Analytics entirely by installing Google’s Analytics Opt-out Browser Add-on, and you can adjust what Google and the social platforms show you through the ad settings in your own account with each of them.
4. Why We Collect Your Information
We don't sell your data. We use your personal information to actually run the sport. Specifically, we use it to:
Process your membership and competition registrations.
Organise fixtures, manage leagues, and record match results.
Communicate with you about schedules, events, and important association updates.
Ensure the health and safety of participants at our events.
Comply with our legal obligations and sport integrity frameworks.
5. Who We Share Your Information With
To effectively manage the sport at both a state and national level, we may need to share your information with trusted third parties:
Handball Australia: As the state body, we share registration and participation data with our national governing body, Handball Australia, for affiliation, insurance, and national pathway purposes.
Assemble Sports: Our software provider, which securely stores and processes your registration, fixture, and payment data.
Your Club: We share relevant details with the affiliated NSW club you register with so they can manage their teams.
Medical Providers: In the event of an emergency, we will share your medical/emergency contact details with first responders or medical professionals.
Government/Regulatory Bodies: If required by law (e.g., child safeguarding checks or sport integrity investigations).
Google and social media platforms: For website analytics and, where we advertise, for ad delivery and measurement. See section 3.
6. Where Your Information Is Stored
Some of the organisations we work with store or process information outside Australia. Google and Squarespace operate servers in a number of countries, including the United States, so information collected through our website may be stored or handled overseas.
Where we disclose information to an overseas recipient, we take reasonable steps to ensure it is handled in a way consistent with the Australian Privacy Principles.
7. Photos and Video
Handball is a visual, high-energy sport. We regularly take photos and videos at our State League, Schools Championships, and events to promote the game on our website and social media (like Instagram and Facebook).
By participating in NSWHA events, you consent to being photographed/filmed. If you do not wish to have your image used, please let the event organiser, referee, or photographer know on the day, or contact us.
8. Children and Young People
We adhere strictly to Australian privacy requirements and the National Integrity Framework (NIF) regarding the collection of data for players under 18. Registration for minors must be completed by, or with the consent of, a parent or legal guardian.
9. Security of Your Information
We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, or disclosure. Data collected via Assemble Sports is held on secure servers. Only authorised NSWHA board members, volunteers, or club administrators have access to your data, and only for the purposes of doing their specific roles.
We keep personal information only for as long as we need it for the purposes described in this policy, or as long as the law requires. When information is no longer needed, we take reasonable steps to delete it or remove identifying details.
10. Accessing and Correcting Your Data
You have the right to request access to the personal information we hold about you, and to ask us to correct it if it is inaccurate or out of date.
For registration data: You can usually view and update your own details by logging into your Assemble Sports account.
For other requests: Please contact us using the details below.
